Scottsdale wedding venues and what you'll need to rent

Scottsdale venues vary wildly in what they include. A resort might hand you tables, chairs, and linens; a private estate hands you a lawn. Before you price a single rental, get the venue's inclusion list in writing — then work down the checklist for your venue type below.

Desert resort lawns and terraces

Usually the most inclusive option. Banquet tables, standard chairs, and basic linens are often part of the package, and there's an on-site team handling the room flip.

• Usually provided: tables, house chairs, linens, basic lighting
• Usually not: ceremony backdrop, seating chart, cocktail-hour focal piece, heaters for the lawn
• Worth renting: floral arches for the ceremony and patio heaters for the reception tail end

The trap here is the house chair. If the resort's chair doesn't match your look, swapping to ghost chairs at $5 each is one of the cheapest visual upgrades available.

Private estates and backyard weddings

The most beautiful and the most work. Nothing is provided, which means your rental list is the entire event infrastructure.

• Seating for the ceremony (which often gets flipped to the reception)
• Dining tables — round for classic seating, serpentine for long-table arrangements
• Cocktail tables to hold guests between ceremony and dinner
• A ceremony backdrop, since there's rarely a built-in focal point
• Heaters or fire pit tables — residential lawns get cold faster than paved terraces

Also check load-in: gate width, driveway length, and whether we can get a truck close to the setup area. Tell us early and we schedule the right amount of time rather than discovering it on the day.

Galleries, studios, and modern indoor venues

These rooms are architecturally strong and decoratively empty. Restraint wins — one or two clean pieces read better than a full romantic build.

• Drapery backdrop to soften a hard wall
• Ghost chairs, which disappear against modern architecture
• A champagne wall or sculpted seating chart as the single statement piece

Golf club terraces and clubhouse venues

• Usually provided: tables, chairs, linens, service staff
• Usually not: anything that makes the room look like yours specifically
• Worth renting: seating chart, ceremony backdrop, phone booth or champagne wall, fire pit tables for the terrace

Questions to ask every Scottsdale venue

• What time can vendors load in, and when must everything be out?
• Is there a same-night strike requirement, or can we collect the next morning?
• Are stakes allowed in the lawn? (This decides which backdrops are possible.)
• Is there a rain or heat contingency space, and does it fit your seating count?
• What's the vendor parking and truck access situation?
• Are open flames or propane permitted? (This decides fire pit tables.)

The last two catch people out most often. A venue that bans propane rules out fire pit tables, and a venue with a hard 11pm strike means we schedule a night crew rather than a morning pickup.
