What wedding decor rentals actually cost in Arizona

Almost nobody in the Arizona rental market publishes prices. You fill out a form, wait two days, and get a PDF you can't compare to anything. Here are our actual rates, what they add up to for a real guest count, and how delivery and deposits work — so you can build a budget before you talk to anyone.

Seating and tables: the working core

Seating is the line item that scales with your guest count, so it's the one worth pricing first. From our catalog:

• Folding chair — $2.50 per chair
• Ghost chair (clear acrylic, armless) — $5.00 per chair
• 60in wooden round table — $16.00 per table
• Cocktail table with white spandex linen — $12.00 per table
• Serpentine wood table (seats six) — $40.00 per table

A 100-guest reception on folding chairs with ten round tables lands at $250 in seating and $160 in tables — $410 before decor. Swap to ghost chairs and the seating becomes $500. That's the entire difference between "basic" and "designed" at the seating level, and it's smaller than most couples expect.

Ceremony and statement pieces

This is where the budget actually moves, and where one or two choices set the tone for every photograph:

Our honest advice: pick one showpiece, not four. A champagne wall at cocktail hour or a drape backdrop behind the ceremony does more for the room than three medium pieces competing with each other.

Comfort items people forget

Arizona evenings drop fast once the sun is down, especially October through April. A patio heater is $130 and a propane fire pit table is $150. Budgeting two or three heaters for an outdoor reception is the difference between guests staying through the last dance and leaving after dinner.

Delivery, setup, and breakdown

One line item: $2 per mile from our Scottsdale base. That covers transport, setup on site, and returning to strike everything after the event. How payment works

A signed rental agreement plus a 50% deposit reserves your date and holds those specific items. The remaining balance is due 60 days before the event. Nothing is held on a verbal hold — if a champagne wall matters to you, the deposit is what protects it.

Where couples over- and under-spend

• Over: renting tables the venue already provides. Check the inclusion list before you quote anything.
• Under: heaters. Every year someone skips them in November and regrets it by 8pm.
• Over: multiple statement pieces in one sightline. Photos only need one focal point.
• Under: cocktail tables. Six of them ($72) fixes the awkward gap between ceremony and dinner.
